Give every checklist a clear next step
Office teams need to see which evidence is missing, which documents await review, and which corrections need the staff member’s attention. Keeping these steps together helps reduce uncertainty when a person moves from recruitment into active care delivery.
The foundation supports role-specific document requirements and a staff directory alongside the readiness workflow. Staff can review their own checklist and provide evidence within their permitted access. Review and approval remain deliberate office actions rather than an automatic consequence of an upload.
Treat review and activation as separate decisions
An uploaded file is evidence to assess, not proof that a requirement has been met. Document review, approval, expiry, employment status, and activation serve different purposes. Each should remain understandable to the staff member and the person responsible for reviewing the record.
A staff member cannot approve their own evidence or activate themselves in the underlying workflow. Account linkage is also separate from staff creation. This makes it possible to discuss operational readiness without assuming that every profile already has login access.
Connect credentials to future scheduling
Document validity matters on the date care is delivered. The scheduling foundation checks relevant credentials against the actual visit window, alongside availability and conflicts. An onboarding view is therefore most useful when it connects to future assignments rather than ending at a completed checklist.
During a demo, ask to see a new staff member with missing evidence, a reviewed document with an upcoming expiry, and an active person who is unavailable for a particular visit. Confirm your agency’s actual requirements before agreeing on onboarding configuration. Document rules and regional obligations vary; the software does not determine those obligations for your agency.
Questions about the workflow
Does a new profile create a staff login?
No. In the Kalinga foundation, staff creation, account linkage, and scheduling eligibility are separate.
Can caregivers approve their own documents?
No. Staff may provide their evidence, but the underlying workflow reserves approval and activation for authorized reviewers.
