WORKFLOW GUIDE

A caregiver credential workflow checklist

A caregiver credential workflow should identify required evidence, collect it through an approved route, assign a reviewer, record validity dates, and check readiness against future visits. This is an operational checklist, not a universal list of legally required credentials. Your agency must determine requirements for its services and location.

Define the requirement before collecting documents

Agree which roles need each requirement and what counts as acceptable evidence. Identify who can decide whether an item is complete, which dates matter, and how corrections are requested. A checklist is clearer when the staff member understands the next action.

Keep a document’s presence separate from its approval. An uploaded file may need review, may be illegible, or may not cover the intended service. The system should make that state understandable rather than marking every uploaded item as complete.

Review validity across the visit window

Capture expiry where relevant and consider future assignments. A staff member may appear ready today while a required document will expire before next month’s recurring visit. Readiness should therefore connect to the schedule, not only to onboarding completion.

Availability, leave, employment status, account linkage, and document approval answer different questions. A complete file does not mean a person is available, and an active account does not by itself establish eligibility to deliver a visit.

Include changes and departure in the process

Assign responsibility for approaching expiries and corrected evidence. Decide how the office will review a changed requirement and what happens to upcoming assignments while the issue is unresolved. Use synthetic examples to rehearse this process before relying on it.

When a staff member leaves, review account access and future assignments while preserving necessary history under the agency’s approved policies. Estrella’s onboarding foundation supports separate review and activation steps; ask to see the actual workflow and confirm your agency’s requirements during discovery.

Questions about this guide

Does this checklist define legal credential requirements?

No. It describes a workflow for handling requirements your agency has established, not legal or clinical requirements for every location.
