WORKFLOW GUIDE

How to choose home care software for your agency

Choose home care software by testing your agency’s real intake-to-billing workflow, checking role permissions, and confirming required integrations. Compare what the product demonstrably supports today with what remains planned. Agree on setup, data migration, support, pricing, and security expectations before committing to an implementation.

Write down the work you need to connect

List the places a new inquiry passes through before a visit is delivered. Include who owns follow-up, who prepares care, who reviews staff evidence, who assigns visits, and who handles financial records. This gives a demo a purpose beyond reviewing attractive screens.

Bring an ordinary example and an exception. A recurring visit with an eligible caregiver shows the routine path; an expiring credential or overlapping assignment reveals how the software helps when the plan cannot proceed unchanged.

Ask for evidence behind broad claims

Request a walkthrough of permissions, finalized records, correction history, and staff offboarding. If you need certified EVV, payer claims, a payroll provider, or direct payment collection, ask which integration is implemented and what testing supports it. Do not assume those functions from an attendance or billing screen.

Security, privacy, hosting, contractual terms, and jurisdiction-specific requirements need a separate evaluation. A public marketing label is not a substitute for reviewing the actual deployment and agreements with the responsible people.

Plan implementation as part of the decision

Identify which records would move, which system remains authoritative during transition, and who validates imported information. Ask how existing documents and historical invoices would be handled. Do not begin with sensitive production data just to see whether a demo works.
