WORKFLOW GUIDE

How does a home care visit become an invoice?

A visit-to-invoice workflow connects the agreed service and pricing with scheduled work, recorded attendance, review, and invoice preparation. An invoice should remain distinct from a payment record, and a receipt record should remain distinct from moving money. The exact review and billing rules depend on the agency’s arrangement.

Begin with the agreed service and pricing

A care plan describes the support to deliver. A priced visit plan describes the commercial terms used by the office. These are related records with different purposes, so the person reviewing an invoice needs to know which information is authoritative for the charge.

When the visit is scheduled, the office should understand what is planned and what still requires approval. Billing readiness and care readiness are not interchangeable. A signed agreement alone does not establish that every care and staffing requirement has been met.

Review what happened before closing the loop

Attendance and visit records help the team review the service delivered. A missing punch or reviewed correction may require an office decision before information is used downstream. Keep the reason and reviewer clear within the approved workflow.

Invoice creation, issuance, PDF download, and delivery are separate events. If a draft needs correction, the office should understand its status. Once an invoice is issued, credits or other permitted correction paths should remain clear to the people reviewing the amount due.

Distinguish records from transactions

The Kalinga foundation supports manual receipts and allocations, but recording a receipt does not charge a card or transfer funds. Likewise, payroll preparation uses operational inputs without itself running payroll or paying staff.

Estrella does not promise certified EVV, payer claims submission, or a specific payment or payroll integration for this version. In a demo, follow an invoice and a manual receipt separately, then review an attendance correction and its implications for financial preparation. This helps establish the actual handoffs before discussing integrations.

Questions about this guide

Does issuing an invoice collect payment?

No. Issuing a document and collecting funds are separate actions. The current foundation records manual payment information.
